Calendar Sharing
Tuesday July 19th 2005
Manager Howard wants to schedule a meeting for the following Tuesday with three of his representatives. Brooke, Audrey & Sadna. He starts by clicking the share calendar button to look for a suitable time for the four of them. The Shared Calendar Page
The shared calendar page brings up all the users he can share his calendar with.
He clicks on the date chooser found on the top of the page and chooses the date to schedule
his meeting.
Choosing users
Howard checks the box found next to each user’s name and clicks on the Update button found
at the bottom of the users list.
Viewing calendars of the selected users
On clicking the Update button, he gets to see the calendar of his three representatives as
well as his own for the selected date. The colored bands found below the time columns denote
pre scheduled appointments. For example Audrey has appointments from 9.30am and 10.15am and again
between 1 and 2.30 pm. Brooke who has just returned from her holiday has the whole day open.
Viewing an appointment
As Audrey has an appointment continuing on till 2.30pm, Howard decides to check her
appointment before scheduling a time for his meeting. Positioning the mouse over that
appointment, brings up a tool tip which tells him that Audrey has a site visit to a Computer
store between 1 and 2.30pm.
Selecting an appointment time
He decides to schedule a meeting for 3pm as the four of them seem to be free. He clicks on the 3pm button.
Creating the appointment
This brings up the create Appointment page. He enters all the information for the meeting and clicks
on the participants tab to make sure that all the three representatives get the invitation for the meeting.
Saving the appointment
The users box is prefilled with the three names of the representatives he wants to have a meeting with.
Satisfied he clicks Save.
A view of the planned appointment
The appointment is now seen by all the invited representatives in their respective calendars.
